Bots vs virtual agents, in plain English

A bot works in the background. A virtual agent is something a person talks to. Why the difference keeps your automation honest.

Automation vendors use a dozen words for the same thing. We use two, and we keep them separate on purpose.

Bots do the work

A bot is software that handles a repeat task in the background. It matches a payment to an invoice, copies an order into the books, or flags an item about to run out. Nobody talks to a bot. When it hits something unusual, it stops and tells a person instead of guessing.

Virtual agents do the talking

A virtual agent is software a person talks to, like a chat that answers first questions and books an appointment. It always says what it is. It collects information, and it hands anything that needs judgment, a relationship or a signature to a person.

Why the difference matters

  • Trust. Customers should know when they are talking to software. A virtual agent that pretends to be a person burns goodwill fast.
  • Safety. Bots that act quietly need tighter rules: least access, testing first, a change log and a way to roll back.
  • Accountability. Either way, a named person owns every judgment call. Bots do not sign anything.

Human first. AI assisted. That is the whole idea.
